Role Purpose
The Stock & Replenishment Coordinator is responsible for ensuring the right stock is available in the right location at the right time across Wolfi’s business operations. The role coordinates the day-to-day movement and availability of inventory across Wolfi’s Sport Trading (WST), Wolfi’s Bike Shop (WBS), warehouse, retail, and other relevant business locations.
This includes monitoring stock levels, coordinating replenishment from the central warehouse,managing inter-location stock transfers, supporting stock movements and adjustments, and proactively identifying potential stock shortages.
Working closely with Retail, Warehouse, Sales, and Procurement teams, the Stock & Replenishment Coordinator ensures stock requirements are identified and actioned efficiently while maintaining accurate inventory records and strong visibility of stock movements.
This is a hands-on operational coordination role requiring strong attention to detail, follow-through, and the ability to proactively identify and resolve stock availability issues to support smooth business operations and an excellent customer experience.
Responsibilities
Stock Monitoring & Availability
- Monitor stock levels across WST, WBS, retail, warehouse, and other relevant business locations.
- Identify replenishment requirements based on stock availability and operational needs.
- Monitor low-stock and out-of-stock items and proactively take action to replenish stock where inventory is available.
- Maintain visibility of stock availability across locations to support operational and sales requirements.
- Identify recurring stock availability issues and highlight these to the relevant stakeholders.
- Support regular stock reviews to ensure inventory is appropriately positioned across the business.
Replenishment Coordination
- Coordinate stock replenishment from the central warehouse to retail and other business locations.
- Ensure replenishment requirements are actioned accurately and within required timelines.
- Follow up on pending replenishments to ensure stock reaches the required location.
- Work closely with Warehouse and Retail teams to prioritise replenishment based on operational requirements.
- Identify stock shortages that cannot be fulfilled from available inventory and escalate these to the Procurement team for further action.
- Maintain clear visibility of outstanding replenishment requirements and follow through to completion.
Stock Transfers & Movements
- Coordinate stock transfers between Wolfi’s locations based on inventory availability and operational requirements.
- Ensure replenishment requirements are actioned accurately and within required timelines.
- Follow up on pending replenishments to ensure stock reaches the required location.
- Work closely with Warehouse and Retail teams to prioritise replenishment based on operational requirements.
- Identify stock shortages that cannot be fulfilled from available inventory and escalate these to the Procurement team for further action.
- Maintain clear visibility of outstanding replenishment requirements and follow through to completion.
Inventory Accuracy & Stock Control
- Support the maintenance of accurate inventory records within the ERP and inventory management systems.
- Review stock information and identify discrepancies requiring investigation.
- Support the investigation and correction of inventory discrepancies in collaboration with relevant teams.
- Assist with inventory adjustments where required and ensure appropriate processes are followed.
- Support regular stock reviews and stock control activities.
- Maintain accurate records and documentation relating to replenishment, transfers, and inventory movements.
- Escalate recurring inventory discrepancies or control issues to the relevant manager.
Cross-Functional Coordination
- Work closely with Retail, Warehouse, Sales, and Procurement teams to support day-to-day stock requirements.
- Act as a key coordination point for stock availability, replenishment, and inter-location transfers.
- Communicate stock availability issues and outstanding actions clearly to relevant stakeholders.
- Follow up with internal teams to ensure agreed stock movements and replenishments are completed.
- Support Sales and Retail teams with stock availability information where required.
- Build strong working relationships across business units and locations to support efficient stock flow.
Reporting & Analysis
- Support regular reporting on stock availability, replenishment, transfers, and inventory movements.
- Monitor outstanding replenishments and transfers and highlight delays or issues requiring action.
- Identify trends in stock shortages, availability, and replenishment requirements.
- Maintain accurate data and records to support operational decision-making.
- Provide relevant stock information and updates to management and key stakeholders when required.
Process Improvement
- Identify opportunities to improve stock replenishment, transfer, and inventory processes.
- Support the implementation of improved stock control procedures and ways of working.
- Identify recurring operational issues and recommend practical solutions.
- Contribute to improving inventory accuracy, stock visibility, and replenishment efficiency across Wolfi’s.
- Support the adoption and effective use of ERP and inventory management systems.
Requirements
- 1–3 years of experience in stock control, inventory coordination, replenishment, retail operations, warehouse support, or a similar role.
- Previous experience with stock transfers, replenishment, inventory movements, or stock adjustments is beneficial.
- Strong attention to detail and the ability to work accurately with stock and inventory data.
- Good Excel skills and confidence working with spreadsheets, reports, and inventory data.
- Comfortable working with ERP or inventory management systems.
- Strong organisational and follow-up skills.
- Ability to identify stock issues and proactively take appropriate action.
- Strong communication and coordination skills.
- Ability to manage multiple priorities and follow actions through to completion.
- Comfortable working across multiple teams, business units, and locations.
- Experience within retail, distribution, cycling, sporting goods, eCommerce, or a similar environment would be an advantage.
